Responsibilities include:
Accounts Payable Oversight:
  • Review and approve accounts payable processing, ensuring accuracy and adherence to policies.
  • Manage vendor relationships, including new vendor setup and resolution of discrepancies.
  • Process check runs and manual checks when necessary.
  • Prepare and distribute 1099 forms at year-end.
  • Donation/Income Administration:
  • Oversee the preparation and bank deposits of donations and other income.
  • Reconcile monthly ACH grant deposits.
  • Import Raiser's Edge batches into the general ledger system and reconcile for audit purposes.
Program/Grant Accounting:
  • Prepare monthly grant wage reports.
  • Submit reimbursement draws to funding organizations.
  • Review grants prepared by other team members for compliance.
  • Prepare monthly accounts receivable invoices and monitor cash flow.
  • Respond to grant/funder audit requests related to billing submissions.
Payroll:
  • Oversee payroll operations, including integration with time and attendance tracking systems.
  • Ensure data integrity between benefits invoicing, payroll deductions, and PTO balances.
  • Assist in payroll processing and review.
  • Manage system updates for new hires, benefit changes, and employee status.
Reporting/Audit Compliance:
  • Prepare and review various financial reports, including cash requirement summaries and project-based reports.
  • Prepare audit reports related to invoices, cash receipts, and voided checks.
  • Oversee payee file audits and 1099 audit.
  • Conduct agency background checks and escalate any findings as necessary.
  • Participate in the annual financial audit.
Administration:
  • Serve as a point of contact for HR-related duties in the absence of the VP of HR.
  • Lead and supervise the Accounting Department, providing guidance and support to team members.
  • Track performance evaluations and follow up with supervisors on due dates.
  • Oversee the organization's financial document management system.
  • Other duties as specified by the Chief Operating Officer.
What you need to succeed:
  • Supervisory experience, ideally 1-3 years, with the ability to lead and manage a team effectively.
  • 3-5 years of relevant accounting experience, including payroll, accounts payable/receivable, and general bookkeeping.
  • Proficiency with Excel and other accounting software.
  • Bachelor's degree in Accounting or a related field.
  • Strong attention to detail and accuracy in financial records.
  • Ability to adapt and multitask in a non-profit culture, with a "can-do" attitude and a willingness to take on diverse responsibilities.
  • Preferred: Experience in the non-profit sector and familiarity with Paycor.
