Responsibilities include:
  • Efficiently and accurately handle weekly data entry of donations and deposits.
  • Process payments of invoices and ministry requisitions for budgeted funds.
  • Manage purchasing and ordering of office supplies, equipment, and educational supplies, ensuring efficient inventory control.
  • Maintain accurate church membership database, including adding/deleting members and updating address changes.
  • Record and maintain individual contributions for proper tracking and reporting.
  • Provide general administrative and secretarial support to the Church Business Administrator and the Christian Education Department, including typing correspondence, answering telephones, and responding to inquiries.
  • Assist with booking flights and hotel accommodations for staff, members, and guests.
  • Utilize the Phone Tree system to effectively communicate with the membership via telephone.
  • Support office systems and special communications, including telephone, computer, and website maintenance.
  • Prepare and distribute annual contribution statements and IRS 1099 forms.
  • Generate special reports as needed.
  • Handle general support tasks such as mail distribution, updating mailing lists, backup telephone support, and preparing certificates and church resolutions.
  • Provide assistance with announcements, bulletins, programs, and support major projects and events as required.
  • Undertake additional duties as assigned by the Church Business Administrator.
What you need to succeed:
  • High school diploma or equivalent; additional certification or education in office administration or related field is a plus.
  • Proven experience in administrative support roles, preferably in a church or nonprofit setting.
  • Strong data entry skills with high attention to detail and accuracy.
  • Proficiency in using office software, including word processing, spreadsheet, and database management.
  • Excellent organizational and time management abilities to handle multiple tasks and meet deadlines.
  • Exceptional communication skills, both written and verbal, with the ability to maintain confidentiality.
  • Strong interpersonal skills and the ability to work collaboratively with diverse individuals.
  • Resourceful problem-solving skills and the ability to adapt to changing priorities.
  • Knowledge of general office procedures and familiarity with office equipment.
  • A high level of integrity, professionalism, and dedication to maintaining the church's mission and values.
