Job Description

Marketing and Office Manager 

Job Overview: We are looking for a dynamic Administrative/Marketing professional who will play a pivotal role in supporting both marketing efforts and office administration. This position requires a detail-oriented individual with strong organizational skills and the ability to efficiently mine data from our CRM (Customer Relationship Management) system to support marketing/recruiting campaigns. The ideal candidate will also excel in traditional administrative tasks and thrive in a fast-paced environment. 


Marketing Support: 

  • Utilize CRM software to extract customer data and generate targeted lists for marketing/recruiting campaigns. 

  • Collaborate with the leadership team to analyze customer demographics, behavior, and preferences for strategic marketing initiatives. 

  • Assist in the development and execution of email marketing campaigns, including drafting content, scheduling sends, and monitoring performance metrics. 

  • Conduct market research and competitive analysis to identify opportunities for growth. 

  • Assist in preparing reports and presentations summarizing marketing performance and insights. 

  • Subject Matter Intermediate all things marketing automation  

    Office Administration: 

  • In charge of Audit and Compliance for our recruiting and sales processes 

  • Manage general office duties, including answering phones, greeting visitors, and handling incoming and outgoing mail. 

  • Manage weekly processes of internal and external open job position advertisements 

  • Onboard contract candidates 

  • Order and maintain office supplies and equipment, tracking inventory levels and replenishing as needed. 

  • Point of Contact for all vendors 

    Team Collaboration: 

  • Work closely with the leadership team to align on campaign objectives, target audiences, and messaging strategies. 

  • Collaborate with colleagues across departments to ensure smooth coordination and communication. 

  • Provide assistance and support to team members as needed, fostering a positive and collaborative work environment. 


  • Proven experience in an administrative role, preferably with exposure to marketing support functions. 

  • Familiarity with CRM systems (e.g., Salesforce, HubSpot) and proficiency in data extraction and analysis. 

  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously. 

  • Excellent communication skills, both written and verbal, with the ability to interact professionally with internal and external stakeholders. 

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications. 

  • Ability to work independently with minimal supervision and as part of a team. 

  • Previous experience in data mining, CRM management, or marketing analytics is a plus. 

  • Comfortable discussing entry level held desk functions with vendors.
